Conclusion of the AGM :

The meeting which was conducted on Sunday 29-10-2023 @11 am started with the following points :

  • Previous topics and complaints/suggestions/feedback were brought up to disturb the meeting agenda.
  • No members showed active participation in the balance sheet and did not ask any questions.
  • The Society Secretary (*16 Lakhs Dues during his run) wants to be re-elected again despite being a failure during his run because of this few members took objections that new members should be given a fair chance.
  • The secretary suggested his people's names despite the member whose name was suggested is not interested in being the secretary.
  • The secretary says to give names whose contribution is their who participate in the unofficial meetings which are being conducted during evening time i.e kitty parties the secretary himself doesn't participate in these kitty parties where they sit in the society area and discuss like mohale ki aunties but does not bring those topis in official monthly meetings.
  • The secretary's & chairman's contribution is zero toward society.

An Annual General Meeting (AGM) for a Shantidham Heights cooperative housing society is a crucial event where members come together to discuss and make decisions on various matters concerning the cooperative. Here's a general outline of what typically happens during a Cooperative Housing Annual General Meeting:

Notice and Agenda: The cooperative's board of directors or management committee sends out notices to all members well in advance of the meeting. The notice includes the date, time, and location of the meeting, as well as the agenda. The agenda usually includes items such as financial reports, election of board members, approval of the annual budget, and any other important matters to be discussed.

Opening and Welcome: The meeting begins with a welcome address from the cooperative's president or another board member. They may also outline the rules and procedures for the meeting.

Minutes of the Previous AGM: The minutes of the previous AGM are typically read and approved by the members. Any corrections or changes are made at this stage.

Financial Reports: The treasurer or financial officer presents the cooperative's financial reports. This includes the income and expenditure statement, balance sheet, and budget for the upcoming year. Members have the opportunity to ask questions and seek clarifications about the financial health of the cooperative.

Election of Board Members: If it's a year for board member elections, the process typically involves nominations from the floor, voting by members, and the announcement of the newly elected board members.

Resolutions and Motions: Members can propose resolutions or motions during the meeting. These could be about specific issues, rule changes, or anything else relevant to the cooperative.

Bylaw Changes: If there are proposed changes to the cooperative's bylaws, they are discussed and voted upon during the AGM.

Maintenance and Development Updates: The board or management may provide updates on ongoing maintenance, repair, or development projects within the cooperative. This is also an opportunity for members to ask questions or express concerns.

Member Concerns and Open Forum: An open forum allows members to voice their concerns, suggestions, or grievances. The cooperative's leadership should listen and address these concerns when possible.

Any Other Business (AOB): This is where any additional topics that are not on the agenda can be discussed, though major decisions are typically not made under this section. These items may be added to the agenda for the next AGM.

Announcements: The meeting may conclude with general announcements and reminders from the board or management.

Closing: The president or chairperson thanks the members for their participation, and the AGM is formally closed.

Remember that the specific procedures and rules for a Cooperative Housing AGM may vary depending on the cooperative's bylaws and local regulations. It's important for all members to familiarize themselves with the cooperative's governing documents and to actively participate in AGMs to ensure the well-being and effective governance of the cooperative.
